Topicflow Technologies Inc. ("Topicflow", "us", "we", "our") values and respects your privacy. We have prepared this privacy policy to explain the manner in which we collect, use and disclose personal information through our Website located at www.topicflow.com (the "Website"), our web application available at app.topicflow.com (the "Web App") and otherwise interact with you.
You do not have to register to visit or use our Website. To access the Web App, you will need to create a user account using the available interfaces and connect your calendar(s) using your account credentials from other platforms (collectively with your calendar(s), the "Third Party Accounts"). By connecting a Third Party Account and using the Web App through a Third Party Account, you permit us to access certain information from it, consistent with your Third Party Account's settings. You can control how much information we have access to by adjusting these settings. We use this information to create and administer your account. We strongly recommend that you do not disclose your password to any Third Party Account to anyone. We will never ask you for your password in any unsolicited communication (such as letters, phone calls or email messages). If you become aware of any unauthorized access to or use of your account, you must notify us immediately.
In order to use the Web App, you will need to connect your calendar. By doing so, you authorize us to access account information like your name and schedule in a manner consistent with your calendar's privacy settings. You may disconnect your calendar at any time in your settings. We do not have control over the manner in which your personal information is treated on your calendar. Please review the privacy policies that apply to your calendar for more information.
We have access to all information you add to your calendar events (e.g. the event title, attendees, start and end times, date, description, and any information you input into the Web App). You hereby authorize us to access, collect, and use this information to: provide the Web App; provide support (including bug searches, updating, and troubleshooting); and improve and develop our products and services. We will not use this information for marketing or disclose it to a third party without your express consent.
If you sign-up to receive electronic marketing communications such as emails, we will collect your email address. You can unsubscribe at any time by clicking the "unsubscribe" link included at the bottom of each message. Alternatively, you can opt-out of receiving electronic marketing communications by contacting us at the contact information provided in the "Contact Us" section below. Please note that you may continue to receive transactional or account-related communications from us.
If you engage with our marketing campaigns on social media websites such as engaging with an influencer's post, we may collect information (e.g. likes, shares, and comments) for the purposes of evaluating the effectiveness of our marketing campaign.
From time to time, we may offer you the opportunity to participate in one of our surveys or other research projects. The information obtained through our surveys and customer research is used in an aggregated, non-personally identifiable form to help us understand our customers and to enhance our product and service offerings.
If you apply for a job with us, you may provide us with certain personal information about yourself, such as information contained in a resume, cover letter, or similar employment-related materials. We use this information for the purpose of processing and responding to your application for current and future career opportunities.
When you contact us with a comment, question or complaint through email or the chat function on the Website, you may be asked for information that identifies you, such as your name and email address, along with additional information we need to help us promptly answer your question or respond to your comment. We may retain this information to assist you in the future and to improve our customer service and service offerings.
We also collect certain technical and usage information when you use the Website and the Web App, such as the type of device, browser, and operating system you are using, your Internet service provider or mobile carrier, unique device identifier, IDFA or IDFV, MAC address, IP address, location, device and browser settings, the webpages and mobile apps you use, advertisements you see and interact with, and certain Website usage information. Your personal information may be transferred (or otherwise made available) to third parties that provide services on our behalf. We use service providers to provide services such as: hosting the Website and the Web App, providing advertising and marketing services, tracking errors and logging access data, and analyzing aggregate data collected for research purposes. Our service providers are only provided with the information they need to perform their designated functions and are not authorized to use or disclose personal information for their own marketing or other purposes. Our service providers may be located in the U.S., Canada or other foreign jurisdictions. In the event personal information is transferred to the US or other foreign jurisdiction, it will be subject to the laws of that jurisdiction and may be disclosed to or accessed by the courts, law enforcement and governmental authorities in accordance with those laws. Our service providers are given the information they need to perform their designated functions, and are not authorized to use or disclose personal information for their own marketing or other purposes.
Topicflow’s use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.
You may opt-in to sending your meeting agendas and transcripts to OpenAI, for the purpose of having the agenda and transcript summarized, and for suggesting action items, decisions and recognitions. If you choose to do this, OpenAI may retain your meeting data for up to 30 days.
We, our affiliates and our Canadian, U.S. and other service providers may provide your personal information in response to a search warrant or other legally valid inquiry or order, to other organizations in the case of a breach of an agreement or contravention of law or for the purposes of detecting, preventing or suppressing fraud, or as otherwise required or permitted by applicable Canadian, US or other law (which may include lawful access requests by courts, law enforcement and government institutions in such foreign jurisdictions). We may also disclose personal information where necessary for the establishment, exercise or defense of legal claims and to investigate or prevent actual or suspect loss or harm to persons or property.
We may transfer or disclose any information we have about you as an asset in connection with a proposed or completed merger, acquisition or sale (including transfers made as part of insolvency or bankruptcy proceedings) involving all or part of Topicflow or as part of a corporate reorganization or other change in corporate control.
With your consent, we may provide your personal information to our affiliated companies, co-sponsors or other business partners to use in accordance with their own privacy policies. We may share your personal information so that our business partners, affiliated companies or co-sponsors may provide you with information on the products and services they make available to you through our Website, Web App, or that may be of interest to you.
Where required or permitted by applicable law, we may share our personal information for other reasons than we disclose to you.
We operate internationally, and many of our computer systems are currently based in the United States, this means information we collect will be processed by us or our affiliates or service providers in the U.S. where data protection and privacy regulations may not offer the same level of protection as in other parts of the world, such as the European Union or Canada.
In general, you can visit the Website without telling us who you are or submitting any personal information. However, we collect the IP (Internet protocol) addresses of all visitors to our Website and other related information such as page requests, browser type, operating system and average time spent on our Website. We use this information to help us understand our Website activity and to monitor and improve our Website.
The Website uses a technology called "cookies". A cookie is a tiny element of data that our Website sends to a user's browser, which may then be stored on the user's hard drive so that we can recognize the user's computer or device when they return. We have implemented reasonable administrative, technical and physical measures in an effort to safeguard the personal information in our custody and control against theft, loss and unauthorized access, use, modification and disclosure. Our Web App is for business use only. We do not permit anyone under the age of 13 to register with us. We also do not send email correspondence to anyone who tells us that they are under the age of 13.
We may update this privacy policy periodically to reflect changes to our privacy practices. We encourage you to periodically review this page to ensure you are familiar with those changes. We will indicate at the top of this privacy policy when it was most recently updated. If we are required by law to obtain your express consent for any changes to the Privacy Policy, then we will make a commercially reasonable attempt to obtain your consent before implementing such revisions.
